Organisation files
A shared library of source documents your whole organisation, and the AI, can work from.
- Permission
- Files: read to view, read and write to upload, edit and delete
Files in the main navigation holds two things: a library of documents that belong to the organisation rather than to one data point, and a list of every attachment across your reports.
The library is where policies, travel data, supplier lists, energy invoices and previous sustainability reports live: anything you will refer to more than once.
Uploading
Drop a file on the upload area or click to pick one.
| Accepted formats | PDF, Excel (.xlsx, .xls), Word (.docx), PowerPoint (.pptx), PNG |
| Maximum size | 10 MB per file by default |
You are then asked for the file's context before the upload completes:
- Description: what the file is and what it can be used for.
- Relevant period: optional start and end date. Give both or neither.
- Tags: short labels for finding it later.
AI Suggest reads the file and proposes a description and tags for you. If you already wrote something, it asks before replacing it.
Managing files
Each file in the list can be edited (to change description, period or tags), previewed (PDFs open in a viewer without leaving the page) or deleted.
Attachments across reports
The second table lists files attached to data points in your reports. From here you can jump to the data point a file belongs to, and index it for AI search. See Indexing files for AI.
